Start a dated incident note

Record when damage was discovered and what you observed. Separate facts from uncertainty: a stain appearing after rainfall is a timing observation, not proof of the source. Do not enter an unsafe room to collect evidence.

Keep photographs in context

From a safe location, take a wide view and then useful details. Name the room and date. Keep originals and avoid posting household addresses, documents or identifying details publicly. Photos support communication but do not establish hidden conditions.

Record source repair and mitigation separately

Retain the repair findings, assessment, removal and drying documents as separate records. Note who authorized each step and when. Link invoices to written scopes and keep subsequent changes with the original agreement.
